When an order comes in
You receive an email at the address entered in “Ardoiza Orders”, “Settings”, “Notifications”. In WordPress, a badge appears next to the “Ardoiza Orders” menu.
At the same time, your customer receives an email confirming that their order has been received. With the ARDOIZA Pro app, your phone rings too.
Handling an order
Open “Ardoiza Orders”, then “Orders”. The list shows the orders in progress, with the collection day and time.
Click “Details” to see the dishes, the options chosen, the customer's comment and the total.
An order that reaches your review threshold is marked “Needs review” in the list. It follows the same steps as the others.
Each order moves forward with a button:
| Button | What you are saying | What the customer receives |
|---|---|---|
| Accept | You are taking the order | A confirmation email |
| Preparing | You are cooking | Nothing more |
| Ready | The customer can come | A “your order is ready” email |
| Completed | The order has been collected | Nothing more |
| Decline | You cannot prepare it | A decline email |
| Cancel | The order will not go ahead | A cancellation email |
Finding an order
Above the list, filter by status or by collection day. The search field accepts an order number, a name or an email address.
The “Statistics” screen sums up your sales over 7, 30 or 90 days: orders, average basket and best-selling dishes.
When a booking comes in
You receive an email at the address entered in “Ardoiza Bookings”, “Settings”, “Emails”. Your customer receives an acknowledgement.
With “Automatic confirmation”, the booking is confirmed straight away. Without it, it is up to you to answer.
If you ticked “My venue has a terrace”, the email, the list of bookings and the export also show the customer's seating preference, “Indoors” or “Terrace”. It is only a preference: you seat the party according to the space available.
Handling a booking
Open “Ardoiza Bookings”, then “Bookings”. Each row has four buttons:
- Confirm: the customer receives a confirmation email;
- Decline: you can write a reason. It is passed on to the customer in the email;
- Seat: the guests have arrived and are seated;
- Cancel: the booking will not go ahead.
The day before, the customer receives an automatic reminder. There is nothing for you to do.
When the customer cancels
Each customer receives a tracking link. They can see the status of their booking there and cancel it online, up to the notice period you set in “Settings”, “Guest tracking page”.
You are told by email, and the slot becomes available again.
A fully booked day or a closing day
Do not decline requests one by one. Add a closure: the slots disappear from the form. See the Setting your opening hours, time slots and promotions page.
When the licence is no longer valid
Your menu stays on display. But your website no longer accepts orders, bookings or promo codes. Your customers are asked to phone you, using your “Restaurant phone number” if you have filled it in.
During the grace period, everything stays open. The reason is shown on the plugin's “Licence” screen: see My licence is refused.
Keeping a record
“Ardoiza Bookings”, “Export” produces a CSV file that opens in Excel. With Ardoiza Customers, you can see each customer's history, with their bookings and orders together.
